Gym Member Onboarding: The First 7 Days That Decide If They Stay
Part of our guide: Gym Member Retention in India: Why Members Leave and How to Keep Them
A new member's first seven days set the pattern for the months that follow. If they leave week one with a plan, agreed training days, a second visit already booked and one person at the gym who knows their name, they are far more likely to stay. If they are handed a card and left to figure it out, many will be gone within three months.
Day 0: joining
- Complete their profile: goal, experience, preferred time, any injuries.
- Give them access: the member app, their QR pass, a login.
- Send a welcome message on WhatsApp with timings, what to bring and who their trainer is.
Day 1: first session
- A short induction: where things are, how to use the main machines safely.
- First measurements: weight, and a few body measurements if they are comfortable.
- A simple written workout plan for their first two weeks. See workout planner software.
- Book the second visit before they leave.
Day 2–3: second visit
The trainer says hello by name, checks the plan is working and adjusts anything too hard. Mild soreness is normal; explain that it passes.
Day 4: a nudge
A short message: "Great work this week, Aditi! How's the soreness? See you Friday for leg day." Personal, specific and encouraging.
Day 5–6: third visit and something social
If there is a group class that suits them, invite them. Knowing a few faces makes the gym feel less intimidating.
Day 7: first check-in
- Did they manage three visits? Celebrate it.
- If not, ask what got in the way and adjust days or times.
- Offer a diet plan if their goal is weight or muscle. See diet plans as a gym feature.

After week one
Onboarding does not end on day 7. The rest of the first three months matters too, as covered in the 90-day wall. The member app keeps the gym present between visits. See what members want from a gym app.
How Vault Fit handles this
When you add a member in Vault Fit, they get a member app with a QR pass (installable on their phone, and available in Hindi). Trainers assign a workout plan and a diet plan that appear in the app, record weight and measurements, and take progress photos. Members can book classes from the app, and WhatsApp messages can be sent in one tap or automatically. The at-risk screen flags a slow start, so a new member who misses their first week is noticed straight away.
Frequently asked questions
What should gym member onboarding include?
A welcome message, an induction session, a simple workout plan, agreed training days, a first body measurement and a personal check-in by the end of the first week.
How soon should a new member come back after joining?
Within two or three days. Booking the second visit before they leave the first one is one of the most effective onboarding habits.
Should new members get a diet plan?
If they want one, yes. Many members join to lose weight or build muscle, and diet matters as much as training for visible results.
