WhatsApp Broadcast Rules for Gyms: What Is Allowed and What Gets You Blocked

WhatsApp works for gyms because members trust it. That trust comes with rules. Message only people who gave you their number and agreed to hear from you, start API conversations with approved templates, stop immediately when someone opts out, and keep promotions rare. Break these rules and your number can be limited or blocked, which also stops your renewal reminders.
Rule 1: opt-in comes first
Only message members and leads who gave you their number for this purpose. The simplest way is a line on your joining form: "I agree to receive plan reminders and gym updates on WhatsApp." Keep a record of it.
Rule 2: never use bought lists
Buying "gym-goer" numbers or scraping them from groups is against WhatsApp's rules and usually backfires. Strangers block and report, and your number's reputation suffers.
Rule 3: templates and the 24-hour window (API)
- When a member messages you, you can reply freely for 24 hours.
- Outside that window, you can only start a conversation with a template approved by Meta.
- Templates fall into categories: marketing (offers), utility (reminders, receipts) and authentication.

Rule 4: broadcasts on the Business app
On the free Business app, broadcast lists only reach people who have saved your number. This is why many gym "broadcasts" reach only a fraction of members. Rule 5: honour STOP
Anyone who replies STOP, or asks not to be messaged, must be removed from promotional messages straight away. You may still send essential messages about their account, such as a receipt, if they are a member.
Rule 6: watch your quality rating
On the API, Meta rates your number based on how people react. Blocks and reports lower the rating, and a low rating can reduce how many people you can message each day. Low-value, frequent promotions are the usual cause.
