Excel is free, everyone knows it, and for a very small gym it is fine. The problem is not the spreadsheet itself. It is that a spreadsheet only knows what someone typed into it and never does anything on its own. It cannot notice a plan is ending, send a reminder, stop a lapsed member at the door or print a GST receipt. Gym software does all four without anyone remembering to.
Where Excel works well
Under about 50 members, the owner holds the full picture in their head and the sheet is just a backup. Sorting by expiry date each morning takes two minutes and catches most renewals. Many gyms run like this happily for their first year.
Where it breaks down
It does not act
A column that says a plan ends on the 14th does nothing on the 14th. Someone has to open the file, filter it, notice the date, and send the message. On a busy Monday, or while the owner is travelling, that step gets skipped.
One late update means a wrong answer

The sheet is usually on the owner's laptop or one Google account. Evening staff cannot see it, or can see it but not edit it, or edit an old copy. Two versions of the truth are worse than one.

Nothing stops a member whose plan ended last week from walking in. Enforcement falls to the front desk, which is exactly the job nobody wants.

When to switch
