Vault Fit vs a Register and a WhatsApp Group: What Changes in Week One
Moving from a register, an Excel sheet and a big WhatsApp group to Vault Fit does not take a project plan. Most gyms are set up on day one and feel the difference within the first week: fewer questions at the desk, reminders that go out on their own, and one screen that shows the whole gym.
Day 1: set up
- Create your gym and choose your address (yourgym.vaultfit.online).
- Default plans, WhatsApp templates and opening hours are already there. Adjust prices and GST rate.

Day 2: check-in and the app
Put a tablet or phone at the desk as a kiosk. Members get the app link on WhatsApp, open their QR pass and scan in. For the first time, you know exactly who came in and when.
Day 3: payments
Record today's UPI, cash and card payments against members. Each one gets a GST receipt automatically. No more receipt book.
Day 4: reminders go out
Members whose plans end this week get a personal WhatsApp reminder with a payment link. Some pay from the message before they reach the gym.
Day 5: leads
The week's enquiries go into the leads pipeline with follow-up dates. Switch on the gym website so new enquiries arrive there too.
Day 6: plans
Trainers assign workout and diet plans from templates. Members see them in the app.
Day 7: the owner's view
Open the dashboard: active members, check-ins today, revenue this month, renewals due and the amount at stake, and at-risk members. The questions that used to take a phone call and a search through the register now take a glance.
